Camp Qwanoes Privacy Policy

Camp Qwanoes is committed to protecting your privacy and the confidentiality of personal information. Any personally identifiable information about you is considered “Personal Information” and will be treated in accordance with this Privacy Policy. We believe that ensuring the accuracy, confidentiality, and security of the personal information we hold about our campers, staff and guests is more than simply a legal requirement, it is an ethical obligation.

Identified Purposes

Camp Qwanoes will only collect, use and disclose Personal Information for its own purposes. as deemed necessary for the purposes of operation as set out below. We will not sell information to a third party.

Staff and Leadership Program participant personal information is collected:

  • As required by government to process government forms;
  • To be able to communicate with the staff member/leadership program participant before, during and after their term at Camp Qwanoes;
  • To be able to interview the potential staff member/leadership program participant;
  • To be able inform guests/parents/guardians/supervisors about the staff member/leadership program participant that will be interacting with the guest during they stay at Camp Qwanoes;
  • To send follow up information about Camp Qwanoes; and
  • For promotional purposes.

Excludes individuals name, title, business address, business fax, business number.

Camper personal information is collected:

  • To be able to communicate with the parent/guardian about the camper’s stay at Camp Qwanoes;
  • To be able process payments and send receipts;
  • To be able to serve the campers needs before, during and after their stay including health information;
  • To send follow up information about Camp Qwanoes and supporting info for churches in the area; and
  • For promotional purposes

Friends and/or donors of Camp Qwanoes personal information is collected:

  • To be able to communicate the ministry of Camp Qwanoes;
  • To provide you with opportunities to be involved and support Camp Qwanoes; and
  • For promotional purposes
  • To send out year end donation receipts.

Students

To be able to communicate the ministry of Camp Qwanoes to parents and students;

To provide opportunities to be involved and support Camp Qwanoes

To be able to interview the potential student

To efficiently and accurately enroll students

To provide students with the educational services and co-curricular programs they expect

To contact our constituents directly for services that may be important to the completion of their education or added benefits to them as students [or] alumni.

Consent

Your knowledge and consent of Camp Qwanoes’ collection, use and disclosure of your personal information is important. We rely on the following action(s) by you as indications of your consent to our existing and future personal information practices:

  • Your express consent or acknowledgement contained within a written, verbal or electronic application process
  • Your consent solicited by Camp Qwanoes for a specified purpose
  • Your receipt of this Privacy Policy, until you notify Camp Qwanoes of a withdrawal of this consent.

You may withdraw this consent at any time. Camp Qwanoes will inform you of the consequence of withdrawing your consent. You may withdraw your consent with reasonable notice by letter or e-mail (life@qwanoes.ca: subject line “Removal of consent for personal information”). Except where otherwise required or permitted by law, Camp Qwanoes will stop collecting, using, or disclosing the personal information as requested.

Limited Collection and Retention of Personal Information

Camp Qwanoes will maintain your personal information as accurate, complete, and up-to-date as is necessary for the Identified Purposes. Constituents may request amendments to the records at Camp Qwanoes in order to ensure the accuracy and completeness of their personal information.

Accuracy

Camp Qwanoes will only collect, use, or disclose personal information that is necessary for the Identified Purposes or as required by law. If we require personal information for any other purpose, you will be notified of the new purpose and subject to your consent, that new purpose will become an Identified Purpose. We will retain personal information only as long as necessary for the fulfillment of the Identified Purposes. You can opt out and we will use commercially reasonable efforts to delete information, but it may be impossible because of backups.

Safeguards

Camp Qwanoes will protect your Personal Information by security safeguards such as passwords, locked storage rooms, and locked file cabinets appropriate to the sensitivity of the information. Safeguards will vary depending on the sensitivity, format, location, and storage of the Personal Information.

Accountability, Openness and Customer Access

Camp Qwanoes is responsible for all Personal Information under its control and has a designated Privacy Officer who is accountable to Senior Management for Camp Qwanoes’ compliance with this Privacy Policy.
